How to Utilize the Time Clock Feature and Run Reports 

The Time Clock feature tracks the hours of a system user. It currently does not have payroll functions, however the data can be downloaded and uploaded into a payroll system such as QuickBooks. Below are the options available in the Time Clock for users, as well as reporting available for Managers to view attendance, productivity and make changes. 

 

Using the Time Clock (users) 

 

  1. 1. Locate the Time Clock icon (viewable on all pages in the CRM) 

  1. 2. Click the drop-down arrow to select from one of the available options 

  1. a. Clock In- Clock in for start of day or after lunch/break 

  1. b. Clock Out - Lunch 

  1. c. Clock Out – Break  

  1. d. Clock Out – End of Day- This should be used when your shift is completed for the day 

 

Time Clock Report (managers)These reports can be found in the Reporting tab under Payroll Reports 

 

  1. 1. Time Clock Tracking- This report allows you to select a specific user and date range to view all Time Clock entries You can edit time clock transactions, add or remove entries, or enter Paid Time Off.  

 

 

  1. 2. Current Time Clock Status- This report displays current time clock status by user for a selected date. 

 

 

 

  1. 3. Time Clock Exceptions- This report displays 4 types of exceptions for cases when a user does not clock out or exceeds the default time set for each category.

  1. a. Not Clocked Out- Did not select Clock Out at the end of shift 

  1. b. Long Workday- Clocked in for more than 8 hours (8-hour shift is default) 

  1. c. Long LunchMore than 1 hour (1 hour is default) 

  1. d. Long Break- More than 15 minutes (15 mins is default) 

 

  1. 4. Time Clock Transactions- This report displays all Time Clock entries and can be filtered by an individual user or a group of usersYou may also display entries by specific dates using the date range filter.  

This report can be exported and uploaded into your payroll reporting system.
